“Things are fine.”

But let’s be honest. “Fine” usually means you’ve lowered your standards, not that you’ve raised them.

A System That Actually Works

Not a fancy CRM. Not a magic lead source. Not a motivational quote or a shiny new script.

A simple, fundamental, repeatable system that puts you back in the driver’s seat.

In this guide, I’m giving you that system. I call it Sphere Simplified. I’ve taught it live, step by step, to agents on Facebook Live and to agents inside our organization at Byrne Real Estate Group here in Austin.

Why This Matters Right Now (Especially in Austin)

Austin is a high-opportunity, high-competition market. With rapid migration, tech-sector movement, and interest rate volatility, your clients are mentally preparing for major decisions between now and the first 90 days of the new year.

If you are not talking to your database… if you are not showing up… if you are not visible when people start thinking about selling, buying, relocating, downsizing, or investing…

someone else will be.

Your database needs you now — before January hits.

Step 1: Simplify Your Database (The Foundation of Your Business)

Most agents’ databases are a disaster — scattered across:

  • iPhone contacts
  • Google Contacts
  • Your CRM
  • Email accounts
  • Facebook, Instagram, LinkedIn, and more

When your contact info is everywhere, your opportunities are nowhere.

Your first task is brutally simple: pull all contact sources into one single spreadsheet.

One place. One audience. One source of truth.

Your spreadsheet should include:

  • First name and last name
  • Mobile number
  • Email address
  • Home address
  • Birthday (if you have it)
  • Facebook / Instagram / LinkedIn
  • Notes
  • Source of contact

Then dedupe, clean, organize, and align. This spreadsheet becomes the most valuable asset in your business. It’s your living, breathing book of business.

Why this matters for Austin agents

Austin is a top relocation market. People moving here often have no idea who to hire. Your database — the people who trust you — will refer them.

If you’re not top of mind, you’re not getting the call.

Step 2: Synchronize Your Audience (Your Algorithm = Your Business)

Once your database is organized, you sync it with your social platforms.

Your database → is your audience. Your audience → is your algorithm. Your algorithm → decides whether people see your message.

Here’s what to do:

  • Connect with everyone in your database on Facebook.
  • Connect with them on Instagram.
  • Connect with them on LinkedIn.
  • Send simple, genuine DMs:
    “Hey, saw you did X recently — hope you’re doing great!”

No pitch. No weird commission breath. Just connection.

You want your people seeing your content so they know you’re active, knowledgeable, local, and trustworthy in the Austin real estate market.

Step 3: Show Up Daily (The Marketing Cadence That Wins)

Real estate agents forget they are primarily marketers.

Your job is not just to:

  • Know the Austin market
  • Talk to people about real estate
  • Write contracts and negotiate
  • Show up for clients and do what you say you’ll do
  • Solve problems and remove friction
  • Know vendors and resources
  • Practice your craft

Your job is also to:

Market yourself, consistently, forever.

Your daily cadence

Here’s the baseline:

  • 3 posts per day
    • One personal
    • One business
    • One success / inspirational
  • 5 real conversations (DMs, calls, follow-ups with intent)
  • Preview property daily (so you know the market and have content)

That preview becomes content: “Here’s what $750K gets you in Circle C this week” or “This is what $1.2M looks like in West Lake Hills right now.”

This routine, done daily, builds skills, builds confidence, and builds visibility.

Step 4: Build Your Top 100 (Your Future Income Lives Here)

This is the most powerful concept in the entire system.

Your Top 100 is the group of people who:

  • Know you
  • Like you
  • Trust you
  • Would refer you
  • Would hire you

These 100 people will produce 50% or more of your entire business by year three when you nurture them the right way.

The math

A Top 100 that gets value-based communication at least three times a month for three years will typically generate around 15% in deals.

That’s simple math:

  • 100 people × 15% = 15 deals per year

Your average commission × 15 = your baseline income. And because these people already know you, most of that income is high-margin, after-expense profit.

The rule: Communicate with your Top 100 at least three times a month, value-based, for three years.

Step 5: Email Marketing (The Deal of the Week Strategy)

Most agents are terrified of email. But email is one of the highest-ROI marketing channels in real estate, especially in a data-driven market like Austin.

Send these consistently:

  • Deal of the Week (once a week)
  • Monthly Market Update
  • Mortgage Rate Snapshot

The “Deal of the Week” alone generates replies like “Send me the deal.” That turns into conversations, which turn into appointments, which turn into closings.

Simple. Predictable. Effective.

Step 6: The Goal — 2 Appointments Per Week

Every successful agent I’ve coached aims for two appointments per week.

Those appointments can be with:

  • Buyers
  • Sellers
  • Investors
  • Referrals from your Top 100

The purpose of an appointment is simple: ask for business.

Do that twice per week and you’ll land roughly two contracts per month. In Austin, that’s excellent income. Do it for three years with this system supporting you, and you’ll have a business that can weather almost any market.
